From Version 1 to Version 2: How Collaborative Problem-Solving and Creative Design Led to a Successful Launch

Worked collaboratively with different teams and stakeholders to solve UX issues in Version 1. Also, I had designed the software for version 2 and took initiative to work on marketing designs like email & ads for it.



Problem

The existing software failed to captivate users, and it was clear that changes were needed to improve its visual design and usability. As the target audience is business-oriented, it was important to display all information on a single screen without requiring excessive scrolling. However, with limited space, it was essential to utilize the available space in a smart way. The previous dashboard design failed to meet user expectations and requirements, which is why it was necessary to develop a new and improved version. With version 2, we aim to solve numerous issues from version 1 and create a more user-friendly and visually appealing business software.


Solution we proposed

Due to the nature of the work, we have to solve the UX problems and thus for that I have been assigned several tasks by Product Manager on which I worked one by one. I will cover all the tasks which I did with a solution we found for that particular task.

Project Background

WebbRes version 1 was falling behind its competitors in the market due to its outdated design and lack of customization options. To stay competitive, the company secured seed funding and tasked me with creating a fully customizable version of the software. The challenge was to design a new version that would remove any design issues present in version 1 and make it more user-friendly. The goal of Version 2.0 is to create a software that not only looks visually appealing but is also intuitive and customizable to the user's needs. With the freedom to personalize their experience, WebbRes aims to increase customer acquisition and grow their market share.

Research Insights

They already have completed their research regarding what their customer wants. But after onboarding, I also got a chance to interview few of employee who were working in Alaska Trailers (the company which was using WebbRes).

Task 1 - Revamp the Order Form page

Why Revamp Needed for this page?

  • Important Page as it is most used page in business
  • Bad UI
  • White space is not used properly
  • Issue with bottom navigation
  • Time taking in writing Private Note as it is hidden in first look

How I tackled this problem ?

  • Shifted bottom navigation upward
  • Provided feature to add any services or any items in the order and it will be recorded in the timeline
  • I have kept the design of version 1 in my mind so that when I redesign it, it should not make the user feel like they are using completely different software
  • Divided service order in 3 blocks (previously 2 blocks) to easily bifurcate between different things
  • Improving subtotal part to use space wisely

Why Revamp Needed for this page?

  • Provide option for both list & box view
  • Smoothly change Order status
  • Need to provide crucial information in first glance

How I tackled this problem ?

  • Used Kanban UI Designs
  • Used Icons to create box design & used space wisely
  • Changed "click to change order status" to simple "drag & drop"

Task 3 - System Setup

Why Revamp Needed for this page?

  • No need too revamp this, have to just make it as per brand guidelines

How I tackled this problem ?

  • Used new brand guidelines
  • Added a blur effect to trigger user's mind that any changes they would make here would effect entire system

Task 4 - Designing a chat support for marketing website

Why we needed a Chat support feature?

  • Assist potential customers in finding the right software
  • Help them solve general queries
  • Provide knowledge about latest stuffs

How I tackled this problem ?

  • This task had been divided in two phases
  • A chatbot in frontend which is to be used by users
  • A sales executive panel in backend to solve complex queries from chatbot

Task 5 - Inventory Management system (Rental, Sales & Service)

  • Missing Brand guidelines
  • Need to provide crucial information as filter

Task 6 - Personalized Dashboard

  • No visualization KPI
  • Need to make it user-centric
  • Need to add widgets in Dashboard

How I tackled this problem ?

  • Added visualization
  • Added widgets in dashboard so users can perform more tasks easily

Task 7 - Email Template Designs

I have been asked to design email templates for webbres, the email will be used in webbres dms for various purpose such as when someone purchase the webbres dms, when someone shows interest in webbres, when someone orders anything from the webbres user , invoice and many more.

Being the only designer in the startup, I have also given a chance to design an advertisement for marketing version 2 of their software. In total, I have crafted 4 videos for all different section Sales, Rentals, Service & one for overall software.

Reflections

As we all know getting a first internship means a lot for everyone, I was also excited to start working as an intern in an organization. Over the last few months, I have worked as a Product Design Intern at a B2B SaaS based startup WebbRes. As a passionate and young beginner, I learned how to be open to different perspectives—and how I actually didn’t know anything at all. This list is a culmination of the important lessons I picked up along the way of my internship.
